    Need Alpha by Person Report of people/place events

    I need to create a report to compare with another researcher on all the people in my tree with Carroll County, Georgia shown as a PLACE in any of their events. When I search on Place "Carroll County, Georgia" an alphabetical list (lastname first) of every person with that in their data appears -- very neatly showing 2 columns... (1) name, lastname first and birth-death dates in parentheses and (2) the one-word Event (i.e., Residence, Birth, Death, Burial, Marriage...whatever). This is the way I want to print it out. It is a nice list with a total of 713 events using Carroll County, Georgia.

    But then I click on the arrow to create a report in Microsoft Word, what appears is an unusable list of only 635 events ... partial example:

    Carroll County, Georgia, USA
    645 events use this place...
    Death, Elijah Ephraim Nixon (07 Mar 1846-22 Jan 1917)
    Burial, Elijah Ephraim Nixon (07 Mar 1846-22 Jan 1917)
    Residence, Anne Mason Butler (11 May 1802-11 Jun 1876)
    Residence, Anne Mason Butler (11 May 1802-11 Jun 1876)


    I need it to be an alphabetical list (by person, lastnamefirst) that my collaborator can easily use to quickly find the people who may be in her own database. What am I doing wrong?

    You could mark everyone with Carroll County in their record. Then Export those records. As a bonus, you can put last names in a separate field. Then open the file in a spreadsheet and you can sort by any column.

    There's a section in the manual that covers this (Help-->Contents) and search for Exporting Text Files. It looks like this ...

      Unfortunately, this won't provide the information Judith is looking for in many cases. Text export will only export the first of any repeated events. This isn't typically a problem for events such as birth or death, but Residence or Census events are likely to be repeated, perhaps many times. In fact, Judith's example shows Anne Mason Butler with two residence events. In a text export only one of these would get exported. Worse, if Anne had an earlier residence event in a different location, neither of the Carroll County events would be exported at all.

        You're right. I've tried so many different ways to do this but nothing is working so far. I'll try again to describe what I want to see, if that makes it any clearer. I'd ideally want a spreadsheet that has only 7 columns for all my blood relatives and their spouses, with Carroll County for any of their place events:

        LastName –– FirstName –– Birth Date –– Birth Place –– Marriage Place –– Death Place –– Burial Place

        (I'd need only the BIRTH date to get an idea what general time period all the events may have happened, and keep down the number of columns; then if the person is of serious interest, would go back to the database and find other dates as needed.)

        I first thought I could get this by doing an Advanced Find, then convert the report into a spreadsheet. But Advanced Find allows no more than 4 columns ...
        Any other ideas out there? Appreciate all!

          Ah, if you don't need to export repeated fields (such as Census or Residence), I think KirkS has the right idea.

          1. Using the Places sidebar, find Carroll County, click on it, and click the "Usage" tab.

          2. Using the Mark menu at the bottom of the sidebar (the green checkmark), mark these people. You will probably want to use "Unmark Everybody in Family File, then Mark Everybody in List."

          3. Use File > Export > Text (as in KirkS's message). Choose only Marked People and add the fields you want, then click Export. It should look something like this:

          You will then have a tab-delimited text file that you can import into a spreadsheet.

          There is one little hitch, though. While a person can only be born or die on one place, they can get married in many. Only their first marriage place will be exported.

              I finally did it ... ! But a very tedious process. Wound up with about 17 different tables representing that many locations in Carroll County, and now need to get those all formatted and blended. And on the matter of being able to marry more than once, with only the first marriage in Carroll County, doesn't matter, because it was only the name of the county I wanted for ANY event. If they married in a different county, made no difference for this purpose. Thanks for your input!
